This feature has been created to assist users in scheduling on-site/third-party assessments.


1.
An Assessment Schedule can be created in the Assessment area, which you can find by clicking 'Assessments' from the main navigation on the left of the page and then selecting 'Assessment Scheduler' from the top navigation.



2.From the Assessment Scheduler page, you can select 'Add New' using the button on the right



3.Whether scheduling an assessment, either directly with your supplier or using a third party company, the first steps are to select the assessment from the list of available templates and the site which is going to be assessed. Be sure to add message details, as well as suggest a date range for the assessment to be carried out so that the recipient can respond accordingly.



4.Once the request is created, the supplier will receive an email and a notification on their homepage asking them to respond.



5.The supplier can respond and confirm they are happy with the suggested date range or select 'No' to suggest new dates which they are available for the assessment.




6.Once the supplier has responded there are three options:
  1. Request a Proposal from a third party
  2. Raise the Assessment directly with the supplier
  3. Close the Request



7.If you select to request a Proposal and have a third party company complete the site assessment, simply search and select the company and add a message detailing your request. Once sent, the requested company will receive an email and notification on their homepage to respond to.

The requested company will then be able to see all previous details for the scheduler request (site response etc) and can then provide a response along with a document outlining their proposal to submit for review




8.When the third party company responds with a proposal you can then choose to either accept the proposal or request changes to it.

The third party will then receive a notification to either schedule the assessment if the proposal is approved or to amend and provide a new proposal, repeating the previous step. If a proposal is approved and the third party doesn't have access to use the required assessment template, you will be alerted that they will be given access to schedule assessment using the template once the proposal is approved.




9.When raising the assessment after receiving the proposal approval, the third party can then add the assessment details in order to raise. The assessment due date will be set based on the dates agreed with the site (step 1 of the scheduling) and must be within the agreed date range if changed.

The assessment will automatically be set to share with the company which created the original schedule request so they can have access to view details if the assessment is been raised and completed by a third party



10.Once an assessment is raised the schedule will disappear from the main list with the status of 'Assessment Scheduled'. This then falls into the 'Closed' grouping, which can be accessed by selecting the status from the dropdown filter.

By default, only 'Open' schedules are shown on the Assessment Scheduler page. 


11.The progress of the associated assessment can be viewed via the link when viewing the Schedule request.
The assessment will also be listed on the 'Sent Assessments' page if you have raised the assessment or it has been shared with you.
