Feature Explanation


The purpose of this feature allows recipients of specification requests to forward on requests from their Customers. This will allow any Third Party Company to fill out the Specifiation Details on their behalf. Depending how this is configured, upon forwarding, you can choose whether the details to be returned back to yourself, or directly to your Customer (Requestor).


  • Step 1 - Create new Template
    • Navigatie over to the Specification Modules, and create a new Specificiation Template

      • Note - these will be your Projects used to send to your Suppliers / fill out for your own products
  • Step 2 - Configuring your new Template
    • In here you can:
      • Template Name - Name of your Specification

      • Specificaiton Owner - Choose who will be the over all owner of the Specification (make changes)

      • Valid from/to - Choose to add any relevant dates for this specification

      • Template Description - For Internal Use only to describe what this specification is about

      • Require Section Approval - This means that if you are adding section assignees, al assignees will need to have approved their designated section, before the specification can be approved

      • Add note - If you choose to send a note, this will send a pre-face message to the Supplier informing of why they've received this specifciation, and you can also include a Attachment



  • Step 3 - Choosing your Sections
    • Now for all the important details you want to include into your Specification template
    • On the lefthand side, you can see all the Sections which you can include in your specification
      • Within these Sections, there are Sub-Sections
    • You can also include Section Guidance to provide that additional support to your Suppliers if you so wish

    • You also have quick access to 'Select all Sections' for each section on the left. This will Include ALL Attributes / Fields for each Sub-section under those sections but NOT make them mandatory


  • Step 4 - Choosing your Sub-Sections / Attributes
    • When you are tailoring your specificaitons, you can now pick and choose exactly what you want to send to your suppliers, limited to whatis currently available on the module
    • Additionally, you can choose to set them as Mandatory, meaning that the Supplier will NOT be able to submit their specification back to you without populating that field


  • Step 5 - Publishing and Sending 
    • Once you are happy and ready to proceed, you can click publish at the bottom
      • Note - Once Published, you will NOT be able to un-publish and make any changes. Please contact your AM if you need to do anything of this nature.

    • Click 'Send requests'
      • In here, you can choose change your filters to find the Suppliers / Products you'd like to send as well as the additional settings:
        • From my company who is reponsible - This will be the user who willbe resposible for Approving /Rejecting and any other relevant controls for the Specifications

        • Allow Forwarding - Setting this to "Yes" will allow the recipients to forward onto Third Party Companies to fill out the information for you

        • Notify Users - You can choose who to notify if it is applicable given the Suppler you have chosen




  • Step 6 - Reviewing Progress
    • When you are in the Specification Templates Dashboard, you can see relevant metrics based on your existing Templates

    • You can also choose to:
      • Send More Requests - Takes you to the above page again so you can send more specifications

      • Edit Specification - Adjust the Name of the Specificaiton and any other High Level Details

      • Preview - Look at the Template (check what sections and fields are included)

      • Manage Data Sets - Create your own data sets to apply to the Specifications you want to send, so to fill out expected details associated with your suppliers products. Your suppliers will be notified of this upon acceptance and will have the chance to see what information you have already defined

    • Click on the Project or "View Details" when viewing the Specification Templates
    • From here you'll be able to see what Status they are in:
      • Requested
      • In Progress
      • Submitted for Review
      • Corrective actions Required 
      • Approved
